Appointments Setup Tutorial
The Appointments app allows you to create and manage appointment cards that are displayed on your business website's contact-us page. This feature enables customers to see your availability and schedule appointments directly through your site, streamlining your booking process.
Note: Setting up Appointments is optional but highly recommended if you want to offer appointment booking services to your customers.

Understanding Appointments
What are Appointments?
Appointments in Solodoer are booking cards that appear on your business website's contact-us page, allowing customers to schedule meetings with you. Each appointment card represents a specific type of meeting you offer with defined availability and duration.
Appointment Information Captured:
- Meeting Details: Title and description
- Duration: Hours and minutes for each appointment slot
- Type: Online Meeting, Phone Call, or Office visit
- Availability Period: Start date and end date range
- Weekly Schedule: Days and time slots when you're available
- Custom Questions: Additional information you want to collect from clients
- Reminder Settings: When to send appointment reminders
How Do Appointments Work?
On Your Website:
- Customers visit your website's contact-us page
- They see appointment cards displaying the different types of meetings you offer
- They click on an appointment card that interests them
- They select an available date and time from your schedule
- They fill out their contact information and any custom questions you've configured
- They submit their appointment request
- The appointment request is automatically saved in your Client Appointments app for you to confirm
- Their information is also saved as a client record in your Clients app
In Your Dashboard:
- You create appointment cards with your availability
- You manage weekly schedules and time slots
- You configure duration and meeting types
- You can update or delete appointments as needed
- Appointment requests from customers appear in the Client Appointments app

Accessing the Appointments App
To access the Appointments app:
- Log in to your Solodoer Dashboard
- Find your business card on the dashboard
- Click the "Manage Apps" button on your business card
- You'll be redirected to Manage Apps page
- Click on the "Appointments" card to open the Appointments app
- You'll be redirected to Appointments page
If you haven't added any appointments yet, you'll see an empty state with the message "No Appointments here" and instructions to click "Add Appointment" button.
Step 1: Creating Your First Appointment
Let's create your first appointment card.
Navigate to Add Appointment Page
- Go to the Appointments page
- Click the "Add Appointment" button at the top
- You'll be redirected to Manage Appointment page
Understanding the Appointment Form
The appointment form consists of one main card titled "What meeting do you want to propose?" where you'll enter:
Meeting Details:
- Title - Name of the appointment type (3-50 characters)
- Description - Detailed description of the meeting (3-250 characters)
Appointment Settings:
- Duration Hours - Hours component of appointment duration (0-9 hours)
- Duration Minutes - Minutes component in 5-minute increments (0-55 minutes)
- Type - Meeting format (Online Meeting, Phone Call, Office)
- Reminder Before - When to send reminders (OFF, 15 minutes, 30 minutes, 1 hour, 2 hours)
Availability Period:
- Start Date - When appointments become available (Now, 1 hour, 2 hours, 4 hours, 12 hours, 1 day, 2 days, 1 week)
- End Date - When appointment availability ends (1 week, 2 weeks, 3 weeks, 4 weeks)
Weekly Availability:
- Day - Days of the week you're available
- Start Time - When you start accepting appointments each day
- End Time - When you stop accepting appointments each day
Custom Questions:
- Question - Custom question to ask appointment requesters (3-150 characters)
- Required - Whether the question must be answered
Step 2: Setting Meeting Details

- Find the Title field
- Enter a clear, descriptive appointment name (3-50 characters)

- Select from options:
- OFF - No automatic reminder
- 15 minutes - Reminder 15 minutes before appointment
- 30 minutes - Reminder 30 minutes before appointment
- 1 hour - Reminder 1 hour before appointment
- 2 hours - Reminder 2 hours before appointment
Reminder Recommendations by Appointment Type:
Online Meeting:
- 15-30 minutes - Enough time to find meeting link and get ready
Phone Call:
- 15 minutes - Quick reminder to prepare and be available
Office:
- 1-2 hours - Time to travel to your location

Step 6: Defining Availability Period
Set when customers can book appointments.

- Select when appointments become available:
- Now - Available immediately
- 1 hour - Available in 1 hour
- 2 hours - Available in 2 hours
- 4 hours - Available in 4 hours
- 12 hours - Available in 12 hours
- 1 day - Available tomorrow
- 2 days - Available in 2 days
- 1 week - Available next week
Start Date Examples:
Now: Launch your appointment booking immediately
1-4 hours: Need time to set up systems before accepting bookings
1 day: Start accepting appointments tomorrow
1 week: Prepare marketing campaign before opening bookings
End Date
- Find the End Date dropdown
- Select when appointment availability ends (from start date):
- 1 week - Available for 1 week
- 2 weeks - Available for 2 weeks
- 3 weeks - Available for 3 weeks
- 4 weeks - Available for 4 weeks
End Date Examples:
1 week: Limited-time offer or pilot program
2 weeks: Standard rolling availability
3-4 weeks: Plan further ahead for complex appointments
Availability Period Tips:
- Start with 2-4 weeks of rolling availability
- Too short = customers can't find convenient slots
- Too long = harder to manage schedule changes
- Update appointments regularly to extend availability
- Create new appointments for future periods

Immediate Availability:
- Start Date: Now
- End Date: 4 weeks
- Result: Customers can book from now until 4 weeks out
Future Launch:

Step 7: Managing Weekly Availability
Define your weekly schedule for appointments.
Understanding Weekly Availability
Weekly availability controls which days and times customers can book appointments. The system shows a list of days with start and end times.
Default Weekly Availability:
When you create an appointment, it comes pre-configured with:
- Monday: 9:00 AM - 6:00 PM
- Tuesday: 9:00 AM - 6:00 PM
- Wednesday: 9:00 AM - 6:00 PM
- Thursday: 9:00 AM - 6:00 PM
- Friday: 9:00 AM - 6:00 PM
You can customize these settings or add/remove days as needed.
Adding a Day to Your Schedule
- Scroll to the Weekly Availability section
- Click the "Add Weekly Availability" button
- A new day entry will be added automatically with default times (9:00 AM - 6:00 PM)
- The system adds the next available day from: Saturday, Sunday, or other weekdays not yet in your schedule
Note: You can only add days that aren't already in your schedule. Once all 7 days are added, the button will be disabled.
Configuring Each Day's Availability
For each day in your weekly schedule:

Day Dropdown:
- Select which day of the week: Monday, Tuesday, Wednesday, Thursday, Friday, Saturday, Sunday
- Each day can only appear once in your schedule

Start Time Dropdown:
- Select when you start accepting appointments on this day
- Available times: 12:00 AM through 11:30 PM in 30-minute increments
- Examples: 9:00 AM, 9:30 AM, 10:00 AM, etc.

End Time Dropdown:
- Select when you stop accepting appointments on this day
- Available times: 12:00 AM through 11:30 PM in 30-minute increments
- Must be after start time
- Examples: 5:00 PM, 5:30 PM, 6:00 PM, etc.
Removing a Day from Your Schedule
- Find the day you want to remove
- Click the trash icon (delete button) on the right side of that day's entry
- The day will be removed from your schedule
Note: You must have at least one day in your weekly availability. The system won't allow you to delete all days.

Standard Business Hours:
- Monday-Friday: 9:00 AM - 5:00 PM
Extended Weekday Hours:
- Monday-Thursday: 8:00 AM - 6:00 PM
- Friday: 8:00 AM - 4:00 PM
Weekend Availability:
- Monday-Friday: 10:00 AM - 6:00 PM
- Saturday: 10:00 AM - 2:00 PM
Flexible Schedule:
- Tuesday: 1:00 PM - 9:00 PM

Step 8: Adding Custom Questions
Collect specific information from customers when they book appointments.
Understanding Custom Questions
Custom questions allow you to gather information you need before the appointment. Customers must answer these questions when requesting an appointment.
Default Setup:
When you create an appointment, one empty question field is provided. You can add up to 5 custom questions total.
Adding a Question
- Scroll to the Questions section
- Click the "Add Question" button
- A new question entry will appear with:
- Question text field
- Required toggle switch
- Delete button (trash icon)
Note: You can add between 1 and 5 questions. The add button will be disabled when you reach 5 questions.
Configuring Each Question
For each question in your list:

Removing a Question
- Find the question you want to remove
- Click the trash icon (delete button) on the right side of that question's entry
- The question will be removed from your list
Note: You must have at least one question in your questions list. The system won't allow you to delete all questions.

Step 9: Save and Submit Your Appointment
After completing all fields, it's time to save your appointment.

Before submitting, verify:

Submit Your Appointment
- At the top of the page, click the "Save & Submit" button
- Your appointment will be saved to the server
- You'll see a success message
- You'll be redirected back to the Appointments page
What Happens Next:
- Your appointment card appears on your website's contact-us page
- Customers can view the appointment details
- They can select dates and times from your availability
- When they book, a record is created in your Client Appointments app
- Their contact information is automatically added to your Clients app
- You'll receive notifications about new appointment requests
Viewing Your Appointments
After creating appointments, you'll see them displayed on the Appointments page.
Appointment Card Display
Each appointment is displayed as a card showing:
- Card Title: "Appointment: [Title]" at the top
- Action Menu: Three-dot menu with Edit and Delete options
- Description: Full appointment description
- Duration Hours: Hours component of duration
- Duration Minutes: Minutes component of duration
- Start Date: When availability begins
- End Date: When availability ends
- Created at: When the appointment was created
- Modified at: When the appointment was last updated
Searching Appointments
Use the search bar at the top to find specific appointments:
- Type your search term in the search box
- Appointments are filtered by title
- Results update as you type
Managing Your Appointments
Editing an Appointment
To update an existing appointment:
- Go to the Appointments page
- Find the appointment card you want to edit
- Click the three-dot menu icon on the card
- Select "Edit project" from the dropdown menu
- You'll be redirected to the Manage Appointment page
- All existing data will be pre-filled, including:
- Meeting details (title, description)
- Duration settings (hours, minutes)
- Appointment type and reminder settings
- Availability period (start date, end date)
- Weekly availability schedule
- Custom questions
- Make your changes
- Click "Save & Submit" when done
When to Edit:
- Availability schedule changes
- Duration needs adjustment
- Appointment type changes (e.g., switching from Office to Online Meeting)
- Update description with new details
- Modify custom questions
- Adjust reminder timing
- Extend availability period
Deleting an Appointment
To remove an appointment:
- Go to the Appointments page
- Find the appointment card you want to delete
- Click the three-dot menu icon on the card
- Select "Delete project" from the dropdown menu
- A Delete Dialog will appear
- Review the appointment details in the dialog
- Click "Yes, I'm sure" to permanently delete
Warning: Deleting an appointment is permanent and cannot be undone.
When to Delete:
- Appointment type is no longer offered
- Temporarily suspending bookings
- Replaced by a new appointment type
- Business service changes
- Availability permanently changed
Note: Deleting an appointment does NOT delete existing client appointment bookings in the Client Appointments app. Past bookings are preserved.

Cause: You must have at least one day in weekly availability and at least one question
Solution:
- For Weekly Availability:
- You must have at least 1 day configured
- To change the only day, modify it instead of deleting
- Or add a new day first, then delete the one you don't want
- For Questions:
- You must have at least 1 question
- To replace the only question, modify it instead of deleting
- Or add a new question first, then delete the one you don't want
Issue: Appointments Not Showing on Website Contact-Us Page
Error: Created appointment but it's not visible to customers on the contact-us page
Solutions:
- Verify website is ACTIVE (not EXPIRED):
- Go to Website app
- Check website status
- Extend plan validity if expired via Manage Billing
- Check DNS configuration:
- Go to Domain app
- Verify DNS records are verified
- Check start date:
- If start date is in the future, appointment isn't available yet
- Wait until start date/time passes
- Visit your website's contact-us page directly to verify
- Clear browser cache or try incognito mode
- Wait a few minutes for changes to propagate
Issue: End Time Earlier Than Start Time
Error: Validation error on weekly availability
Solutions:
- Ensure end time is after start time for each day
- For overnight availability:
- You cannot span midnight in a single entry
- Create separate appointments or days
- Example: Monday 10:00 PM - 11:30 PM is valid
- Example: Monday 10:00 PM - Tuesday 2:00 AM is NOT valid
- Use the dropdowns to select times in order
